As a part of the Great Lakes Family Dental Group, Dr. Gary Hubbard and Dr. Curtis Neal serve the Lansing, Michigan area. For more than 30 years, Hubbard and Neal Great Lakes Family Dental has provided both family and cosmetic dental services. Dr. Hubbard is one of only 12 dentists in Michigan who is an Accredited member of the American Academy of Cosmetic Dentistry. Hubbard and Neal wanted a solution to make communication with their patients easier, so they implemented Soultionreach, a cloud-based patient relationship management software.

As the office manager for Hubbard and Neal Great Lakes Family Dental, Julie Bond’s main responsibility is to make sure everything in the office runs smoothly.

“I find Solutionreach to be extremely helpful in the office,” Julie says. “Quite honestly, I couldn’t imagine life without it…it’s fabulous.”

Like most dental practices, no-shows were a huge problem for Hubbard and Neal. Confirming each appointment took a lot of time, because the staff had to reach out to each patient individually. With the automated reminders and confirmations from Solutionreach, Hubbard and Neal sent over 28,000 appointment reminders and the amount of time spent on this task dropped drastically.

“Each confirmation call takes approximately three to five minutes depending on if you reach the patient right away,” Julie says of the old confirmation process. “Depending on the schedule and how many patients you have, that one task can take up a lot of time.”

Hubbard and Neal averages about 21 appointments each day, so implementing an automated system to remind patients of these appointments saves the staff about seven hours every week.

The automated messaging and confirmations helped Hubbard and Neal see last-minute holes in their schedule while they still had time to fill the. They have seen great results with the ASAP waitlist feature as an effective way to keep the calendar full.

“There’s a huge difference from before Solutionreach. We can now do email and text blasts to fill holes in the schedule instead of reaching out to patients one at a time,” Julie states. “So they’re actually contacting us for an appointment. We can send appointment blasts and possibly have a patient within an hour to fill a hole in the schedule.”

Solutionreach provides excellent customer supportAlong with the other benefits of using Solutionreach, Julie also appreciates the customer service she receives.

“The customer service you get with Solutionreach makes the whole process effortless,” states Julie. “Their customer support is A+ in my book. It’s timely and has helped improve our functionality within the system. Our Solutionreach rep goes above and beyond for me. My whole staff uses Solutionreach. The experience has been absolutely positive for everyone because it makes their lives easier.”

Despite spending more than 25 years in dentistry, Julie says she’s never used anything like Solutionreach and plans on making sure whatever office she works in is taking advantage of Solutionreach for their patient relationship management.

“It’s a fantastic program that links to your software, gathers information, and fills your schedule,” Julie says. “Honestly, in my opinion, now that I have Solutionreach, there’s no way I would ever operate without it. It’s that much of a time-saver for me.”
